The student-members elect their Board each year. The Student Board develops a strategic plan for the year. It takes an active part in the organization of the activities of the Conference and ensures the respect of the instructions and the good functioning of all these activities.

What does the Presidency do?
The Presidency acts as a bridge between the Board of Directors and the Student Board and the members. Every month, the Board of Directors meets with the Presidency.
In addition, the Presidency is responsible for coordinating and organising thematic meetings and other events, always in collaboration with the Board of Directors.
In the past, there have been various compositions, with one or two vice-presidents, who always represent the two language groups. As with all other positions in the Office, students serve in this role for a maximum of one year.

What does the Internal Relations Officer do?
The Internal Relations Officer is responsible for monitoring attendance throughout the year, maintaining a clear and up-to-date overview of members present and absent at meetings and events.
Beyond attendance, this role places a strong emphasis on fostering a sense of community and group cohesion within the Olivaint Conference. The aim is to facilitate at least one team-building activity per month, separate from thematic meetings. Rather than organising these activities personally, the role involves coordinating and framing the various initiatives proposed by members, ensuring they take place and contribute to a positive group dynamic.

What do the External Relations Officers do?
The External Relations Officers are responsible for identifying and inviting guest speakers and correctors for Olivaint’s meetings and events. This remains a central priority of the role.
In addition, the position involves actively developing and strengthening ties with similar student organisations, both within Belgium and in the international Politeia Community The goal is to build meaningful bilateral relationships that can lead to joint events and collaborative.

What do the Eloquence Officers do?
The Public Speaking Officers are responsible for the organisation and facilitation of Cartes Blanches and other public speaking exercises throughout the year’s meetings.
This role focuses on creating structured opportunities for members to develop and practise their oratory skills in a supportive environment, and on introducing varied and engaging exercise formats to enrich the training programme.
One of the three officers is also the Public Speaking Tournament Officer and is responsible for the overall coordination of Olivaint Conference’s annual Eloquence Contest together with the Board of Directors. This involves establishing a detailed planning schedule, managing logistics, and ensuring smooth collaboration between participants, jury members, and other stakeholders. What does the Editorial Officer do?
The Editorial Officer oversees the organisation of Contact articles and their online publication. Every Thematic Meeting the Olivaint Conference publishes a small magasine named ‘Contact’, containing around 20 articles written by our members. A key aspect of the role is structuring the feedback and correction process for submitted articles.
To this end, a standardised correction form has been developed to simplify and better frame the review process, ensuring consistent and constructive feedback to contributing members.

What do the Europe Weekend Officer do?
The Europe Weekend Officer leads the preparation and execution of our annual Europe Weekend, working closely with the Presidency to make the most of this flagship event. For more information on this event please see “Activity”.
The role calls for a genuine enthusiasm for the European project and an ambition to develop the event’s programme. A particular focus is placed on strengthening bilateral relationships with partner and sister organisations, both within Europe and beyond.

What do the Recruitment Officer do?
The Recruitment Officer manages the full recruitment process for new Olivaint members. This includes planning and coordinating all stages of recruitment, from initial outreach through to the final selection. During the interview phase, the officer is supported by members of the Studentboard and the Board of Directors.

What do the Sponsorship & Alumni Officers do?
The Sponsorship & Alumni Officers combine two complementary responsibilities. On the alumni side, the role involves maintaining and nurturing relationships with former members of Olivaint, ensuring they remain informed and connected to the association, mainly in collaboration with the Alumni Commission. Given Olivaint Conference’s history of over 70 years, the officer also serves as the custodian of the association’s archives, a rich collection of documents and memories, managing, organising, and sharing relevant materials with both current and former members.
On the sponsorship side, the role involves maintaining existing relationships with current sponsors while proactively seeking new ones, contributing to the long-term financial sustainability of the Conference.
